How we use your information

When you register for the 2019 World Energy Cities Partnership AGM, Aberdeen City Council keeps a record of the information you provide.  This information is used to ensure that the event is catered to your requirements for example to arrange transfers from the airport and manage dietary requirements for meals.  

To manage registration, transport, catering and health and safety for the event, we will share your basic personal information with partner organisations. Information will be shared with the police and emergency services for security purposes.

If you have provided your email address, we will use this to contact you to provide information and updates to the itinerary or to invite you to meetings and events as part of the World Energy Cities Partnership AGM.  If you have signed up to receive additional information on partner events, we will send you information on other events taking place in Aberdeen at the same time as the AGM. 

We will be taking photographs and video footage during this event which will be shared on our website and social media. Further information will be collected during registration. 

How long we keep your information for 

We will keep your information for the duration of this event.  After this event, we will keep your information for 3 years from the end of the event.  

Your rights 

You’ve got legal rights about the way the Council handles and uses your data, which include the right to ask for a copy of it, and to ask us to stop doing something with your data. Please contact the Council’s Data Protection Officer by email on or write to:

Our legal basis 

Wherever we process personal data, we need to make sure we have a legal basis for doing so in data protection law. We understand our legal basis for processing personal data in relation to the 2019 World Energy Cities Partnership AGM as Article 6(1)(e) of GDPR as this is based on our public task to grow our local economy in line with our responsibilities under Scotland’s Economic Strategy, 2015 and the Community Empowerment (Scotland) Act, 2015. 

If you have signed up to receive additional information on partner events, we understand our legal basis for processing personal data as Article 6(1)(a) of the GDPR, as this is based on consent.  

We may process special category data about your health, where you give us explicit consent to do this or it is in your vital interests, for example if you provide us with information about your access and dietary requirements.
